Mediasite supports Right to be Forgotten (RTBF) requests, which are part of a privacy policy that allows users to have identifying information purged from the system. Users submitting requests can have their playback, engagement, and quizzing information purged. Once you have submitted the request and it has been processed by the system, you can send the user an email notifying them that their request has been completed.
To submit RTBF requests:
1. Click Settings > Server Settings > Privacy and enter the user’s username and email address.
2. Select where all identifying information about the user should be removed:
Settings |
Details |
Playback |
User information in reports showing their viewing history will be purged. |
Engagement |
User information in annotation discussions and comments will be purged. |
Quiz Results |
User information in quiz results will be purged. Quizzes and quiz results are only available in My Mediasite. |
3. Click Add Request. Mediasite will launch the job that removes user information. The amount of time it takes for the job to complete will depend on how busy the system is. The user’s identifying information is replaced with a system generated ID that includes the date of the purge.
Server Settings (Privacy): Submit RTBF Request
4. Once an RTBF request is processed, select the check box next to the request in the list and click Email. Mediasite will send an email to the email address specified in the request.
5. Click Details on the same row as a request to view additional information about the request.
6. To remove a request from the list AND all the user information associated with it, select the check box next to the request in the list and click Delete.
Report with user’s identifying information removed
CAUTION: Once a user’s identifying information is removed, it CANNOT be recovered and associated with their activity on Mediasite. Before completing a request, users should be informed of the effects of removing identifying information from the system. For example, if completing online quizzes is a course requirement, instructors will not be able to connect their scores with them.
