Update the Email Template settings to customize system notifications and emails users will send using Mediasite applications.
CAUTION: Do not edit variables in the email templates. These are the items enclosed in tildes, for example, ~Item~. Mediasite system uses these variables to insert the appropriate information into emails.
Email Templates
Templates are available for the following emails sent out in Mediasite:

System notification sent to presentation owner or moderator when a user flags a presentation as being offensive. |

System notification sent when a user adds another user as an editor or approver on a presentation using their user profile or email address. |
Comment Flagged As Offensive |
System notification sent to a presentation owner when a comment on a presentation featured in a showcase is flagged as being offensive. Users can opt out of receiving notifications. |
Comment Posted To Resource |
System notification sent to a presentation owner when users comment on a presentation featured in a showcase. Users can opt out of receiving notifications. |
External Publishing Request Rejected |
System notification sent when reviewer rejects a user’s request to publish to YouTube. |
External Publishing Request Status Updated |
System notification sent when the status for a user’s request to publish to YouTube is updated. The following events trigger a notification: approval, completion of podcast or vodcast content, completion of publishing, cancellation, and error. |

System notification sent to a reviewer when a user submits a request to publish to YouTube. |

Email sent by viewer from the Player to ask questions while viewing live or on-demand presentations. |

System notification sent out to presentation owners when copying their presentation to a trusted Mediasite, via an export project, fails. |

Presentation Copy To Folder Initiated |
System notification sent out to presentation owners when they copy their presentations to folders. Folder owners also receive notifications. This email notification acts as a receipt of submission and includes the date and time of submission. |

Email sent by user from a presentation's properties page to share the presentation's details and link. |
System notification sent out to specified users when changes are made to a presentation. This notification is sent when REA is enabled and will be sent when updates have been made to a presentation’s metadata (title, description, or presenters), status changes to uploaded or scheduled, and when visibility changed from Offline to Viewable. | |

System notification sent out to presentation owners when their presentation is successfully moved to a trusted Mediasite. |

System notification sent out to specified users when REA is enabled, and a modified presentation requires approval. Review is required for the following presentation updates: published from recording device, video edited, video uploaded manually, additional media types or captions added, and vodcast or podcast enabled. |
Presentation Quick Group Invite |
Sent to multiple people from a presentation's properties page (My Mediasite) to share the presentation's details and link. |
Presentation Quick Individual Invite |
Sent to an individual from a presentation's properties page (My Mediasite) to share the presentation's details and link. |
Quiz Review Requested |
Email sent by quiz author to have a quiz reviewed, includes the quiz’s title and a URL. |
Report Invitation |
Email sent by user from a report's page to share its link and allow another user to run the report using the specified filters. |
Report Result Invitation |
Email sent by user from ta report results page after a report to share link to the data. |
Right to Forgotten Request Processed |
System notification sent out to specified user when their request to have their information removed from Mediasite is processed. |
Scheduled Report |
System notification sent to inform specified users that a report is scheduled, includes report filters. |
Share Invitation |
Email sent by user from the Player to share a presentation's details and link. |
Storage Approaching Capacity |
System notification sent to users when their storage usage has reached a threshold quota specified by the Mediasite administrator. In the email, users are notified that if they exceed their quota they will no longer be able to create new presentations or edit and publish existing ones. The email includes their current capacity, current storage, and total capacity. |
Storage Back Under Capacity |
System notification sent to users after they have reduced their storage usage after having received a “storage over capacity” notification. In the email, users are notified that they can resume creating, editing, and publishing presentations. The email includes their current capacity, current storage, and total capacity. |
Storage Back Within Limits |
System notification sent to users after they have reduced their storage usage to less than the threshold quota after having received a “storage approaching capacity” notification. The email includes their current capacity, current storage, and total capacity. |
Storage Over Capacity |
System notification sent to users after they have exceeded their storage quota. In the email, users are notified that they cannot create new presentations or edit and publish existing ones until they reduce their storage usage. The email includes their current capacity, current storage, and total capacity. |
User Profile Activation |
System notification sent to new users (Management Portal and My Mediasite) requesting they activate their user profiles. Activation link is included in the email text. |
User Profile Email Changed |
System notification sent to a user’s original email address when there is a change to the email address associated with their user profile. A user profile activation email is also sent to the new email address. |
Video Assignment Failed to Process (Admin) |
System notification sent to administrator when a student submits a video assignment, but it does not process correctly. |
Video Assignment Failed to Process (User) |
System notification sent to a student when the video assignment they submitted does not process correctly. |
Video Assignment Successfully Processed |
System notification sent to a student when the video assignment they submitted has been processed. |
Vodcast Content Creation Failed |
System notification sent to users, who have attempted to publish a presentation as a vodcast or submitted an external publishing request, when the creation of the video podcast fails. |
Vodcast Content Creation Succeeded |
System notification sent to users, who have attempted to publish a presentation as a vodcast or submitted an external publishing request, when the creation of the video podcast succeeds. |
To customize an email template:
1. Click Settings > Server Settings> Email Templates and click the link for the email type you want to customize. For example, if you want to customize the default email sent to share a presentation’s details and link, click the Presentation Invitation link.
2. Once you select a link, the Subject and Body fields for that template are shown. Update the subject and body as needed.
3. Click Save at the top of the Server Settings page.
